This Privacy Notice explains how VECTRIO SOLUTIONS LTD, a company registered in England and Wales under company number 17392672, whose registered office is at 13 Pendrill Street, Hull, United Kingdom, HU3 1UU ("Vectriosol", "the Company", "we", "us" or "our"), collects, uses, and protects personal data in connection with www.vectriosol.com (the "Website") and our provision of IT and marketing services to business clients. It should be read together with our Cookie Notice.
The Company is the data controller responsible for the personal data described in this Privacy Notice. This means we decide how and why personal data is processed.
We collect the following categories of personal data:
- Enquiry and contact data: name, business email address, telephone number, job title, company name, and the content of any message you send us through an enquiry or contact form, or by email.
- Client and engagement data: contact, billing, and communications data relating to individuals at a Client with whom we have a Service Agreement.
- Website usage data: collected automatically via cookies and similar technologies, such as IP address, device and browser type, and pages visited (see our Cookie Notice for full details).
- Business contact and engagement data from third-party platforms: for example, professional contact details and interactions with our advertising content on platforms such as LinkedIn or Meta.
The Website and our Services are directed at businesses. We do not knowingly collect personal data from, or market to, individuals acting as consumers.
We only use personal data where we have a valid legal basis to do so under the UK GDPR. The table below sets out our main purposes and the legal basis relied on for each.

We share personal data with the following categories of recipients, each of whom is only permitted to use it for the purposes we specify:
- IT infrastructure and hosting providers who host the Website and our business systems.
- Analytics and marketing platform providers, including Google (Analytics), LinkedIn, Meta, and HubSpot, who help us understand Website usage and manage marketing communications.
- Professional advisers, including our accountants, auditors, and lawyers, where necessary for us to obtain advice.

We do not sell personal data to third parties.
Some of the third parties we use, including Google, LinkedIn, Meta, and HubSpot, may store or process personal data outside the United Kingdom. Where this occurs, we ensure an appropriate safeguard is in place, such as reliance on the UK International Data Transfer Agreement (or the UK Addendum to the EU Standard Contractual Clauses), an adequacy regulation, or the recipient's certification under a recognised data transfer framework. We keep personal data only for as long as necessary for the purposes it was collected. As a general guide: enquiry data is retained for up to 24 months if no Service Agreement results from the enquiry; Client and Service Agreement data is retained for the duration of the engagement and for a further period afterwards (typically up to 6 years) to meet contractual, accounting, and limitation-period requirements; and cookie data is retained for the periods set out in our Cookie Notice.
Under the UK GDPR, you have the right to:
- request access to the personal data we hold about you;
- request that we correct any inaccurate or incomplete personal data;
- request that we erase your personal data, in certain circumstances;
- request that we restrict our processing of your personal data, in certain circumstances;
- object to our processing of your personal data, including for direct marketing purposes;
- request that we transfer your personal data to you or a third party, in certain circumstances (data portability); and
- withdraw your consent at any time, where we rely on consent (for example, for analytics or marketing cookies).

In the event of a personal data breach that poses a risk to your rights and freedoms, we will notify the Information Commissioner's Office and affected individuals in accordance with our obligations under the UK GDPR.
The specific obligations related to the data protection, as well as technical and organisational security measures applicable to a Client's engagement will be reflected in the data processing agreement (DPA) concluded between the parties, or in the relevant sections of the Service Agreement, as applicable.
Our Website and Services are directed at businesses and are not intended for, or directed at, individuals under the age of 18. We do not knowingly collect personal data from children.
We may update this Privacy Notice from time to time, including to reflect changes in our data practices or for legal or regulatory reasons. Any updated version will be posted on the Website with a revised last updated date.
